As an organization, we: will not allow the information to be used or seen by anyone who should not see it; will provide you with a copy of your personal information within 1 month of verifying your request.

Why do we collect personal information about you?

We collect information to carry out Digital's work, supporting digital collaboration, business solutions and customer support through our website. It is necessary to process this information to maintain the contractual obligations established with our clients. As a client, you include your consent for Digital to process your information in accordance with this Privacy Policy. You have the right to refuse to provide this consent; however, please note that if you do not provide the information needed to deliver the contracted services, we will be unable to fulfill our contractual obligations. You also have the right to withdraw your consent for us to process your personal data at any time by sending an email to info@digitransformations.com.

As a responsible employer, Digital will collect personal information from prospective employees and obtain references, and will process the personal data of its employees in connection with their individual employment contracts and to comply with its legal obligations as an employer.

What do we use the information for?

For the delivery of the contracted services and internal record keeping; to improve our products and services; to carry out our legal duties and obligations as an employer. We may wish to use your information to send you promotional emails about new products, special offers or other information we think you may find interesting, and sometimes to contact you for internal market research purposes and to tailor our website to your interests. Before using your information in this way, we will ask for your consent.

What kind of information do we keep?

It may include: your name; your contact details (business address, email and phone numbers); business registration details; demographic information (postcode, preferences and interests); other information relevant to customer surveys or offers. For employees, we will collect the information required for their registration (tax ID, ethnic origin, gender, disability, health details, bank details, family details, references).

With whom do we share your information?

There may be occasions when we are legally required to share information with legal agencies (Police, Local Authorities, Courts, etc.), in connection with criminal or civil proceedings or fraud; in these circumstances the information may be shared without your consent. We will not share your information with third parties unless you have opted in to a product, service or solution available on our website. For employees, we will not share their information with third parties without their consent when it is not related to their responsibilities or our obligations. We will not sell, distribute or disclose your personal information to third parties unless we have your permission or the law requires it.

How long do we keep your information?

We will keep your details and the associated documents as a client for a period of 3 years from the end of your relationship with us. For employees, we will retain Personnel Records and Contracts for 6 years after employment ends. We will retain retirement and pension records permanently.

How to obtain a copy of the information we hold about you

You have the right to make a Data Access Request to receive a copy of the information we hold about you. No payment is required, and we will provide the information within one month of receiving and verifying your request. To request it, send an email to info@digitransformations.com (Digital Transformations) providing: your full name, business name and current business address; and a copy of identification (national ID, driving license or registration documents).

What is non-accessible information?

We will be fully open about the information we hold about you, but there are certain limits to what we can legally give you access to. For example, we will not give you information about other people or businesses, or information that requires the permission of the person(s) who gave it to us before we can pass it on to you. We will let you know if there is any information we cannot share with you.

What else can you ask us?

In addition to your right to access information through a Data Access Request, you also have the right to have it amended, erased, processing restricted or to object to processing. This Notice and the associated Consent Form are provided to all clients, employees and, where applicable, subcontracted service providers, at the time the contract is offered.
